Before implementing the partnership with Fujicon, PT Bangun Kapasitas struggled to track budget allocation and usage for each activity. Budgets could be prepared, but implementation on the ground frequently changed, and actual data was difficult to monitor accurately. As a result, cost and revenue information per activity could not be viewed in real time, making program profitability evaluations a "later event" when the report was closed. Another significant challenge was calculating the distribution of rewards for C-level and M-level activities—which requires clear, consistent, and easily calculated rules. Furthermore, recording initial capital and distribution of results from various stakeholders was still done manually, making the administrative process prone to delays and discrepancies.
Fujicon then helped lay the foundation for the system so that each activity could be treated as a measurable business unit. The solution began with the creation of an activity budgeting table to track planned and actual costs, allowing the team to more clearly compare estimates and actuals. Based on this budgeting data, the system also supports reward calculations based on activity budgets, eliminating the need for time-consuming manual calculations. To ensure a fair and automated reward scheme, user levels (e.g., C-level and M-level) were identified as the basis for calculating activity rewards. The most noticeable impact on daily operations was the recording of income and expenses, which were mapped by activity, making cost and revenue calculations per activity easier, faster, and readily available for monitoring.
In this implementation, the applications used covered the core needs of the service business: Sales, Accounting, Expenses, Projects, and a customized Project Budget as a key component for budget control and reporting per activity. With this approach, PT Bangun Kapasitas achieved a more structured process: activity budgets were more controlled, program profitability could be viewed in real time, and reward distribution became more organized, consistent, and transparent—without relying on tedious manual record-keeping.
